How to move Quicken transactions into QuickBooks Desktop

1

Export QIF from Quicken

File > Export > QIF File, one account at a time. Bank, cash, credit card and asset registers are read.

2

Name the bank account

Type the QuickBooks account the register belongs to, exactly as it appears in your chart of accounts.

3

Import the IIF

Back up, then File > Utilities > Import > IIF Files in QuickBooks Desktop.

What the IIF file looks like

A Quicken transaction for fuel bought from Shell, category Auto:Fuel, becomes three lines: the bank side, the category side, and the end marker.

!TRNS	TRNSID	TRNSTYPE	DATE	ACCNT	NAME	AMOUNT	DOCNUM	MEMO
!SPL	SPLID	TRNSTYPE	DATE	ACCNT	NAME	AMOUNT	DOCNUM	MEMO
!ENDTRNS
TRNS	1	CHECK	01/05/2026	Checking	Shell	-45.20
SPL	1	CHECK	01/05/2026	Auto:Fuel	Shell	45.20
ENDTRNS

Payments become checks and deposits become deposits, so QuickBooks shows them in the bank register as usual. Payee names are cut to the 41 characters QuickBooks allows.

Other ways from Quicken to QuickBooks

  • QuickBooks Online, or Desktop without categories: QIF to QBO.
  • Review in a spreadsheet first: QIF to CSV.
  • The reverse, QuickBooks Desktop to Quicken: IIF to QIF.

Frequently asked questions

Why convert QIF to IIF instead of QIF to QBO?

IIF keeps the category. A QBO file only carries the bank side, so every line lands in For Review uncategorised. IIF writes both sides: the bank account and the account each Quicken category maps to, so the transactions arrive already posted.

What happens to Quicken categories?

The category becomes the QuickBooks account on the other side of the transaction, using the same name (Auto:Fuel stays Auto:Fuel, a subaccount). Transfers written as [Savings] go to the Savings account. Classes after a slash (Office/ProjectA) are dropped. Lines with no category go to Ask My Accountant.

Do the accounts need to exist in QuickBooks first?

It's best. QuickBooks adds any account or payee name it doesn't know during the import, and an added account may get a type you didn't intend. Set up the expense, income and transfer accounts first, then import.

Are split transactions kept?

The full amount is posted to the first split's category. If you rely on splits, review those transactions in QuickBooks after the import and split them there.

Can I convert a whole Quicken data file?

One account register at a time. Export each account from Quicken as QIF (File > Export > QIF File) and convert it with the QuickBooks bank account name it belongs to.

How do I import the IIF into QuickBooks Desktop?

Back up your company file, then File > Utilities > Import > IIF Files and pick the downloaded file. QuickBooks Online doesn't import IIF; use QIF to QBO for Online.
