QuickBooks Online imports bank transactions from a CSV file, but only in two layouts: three columns (Date, Description, Amount) or four (Date, Description, Credit, Debit). Most bank exports have extra columns, a balance summary on top or mixed formats, which is why the upload fails. How to import a CSV into QuickBooks Online

    Download the CSV from your bank

    Export the account's transactions for the date range you need as CSV (sometimes called 'Comma delimited' or 'Excel').

    Put it in a layout QuickBooks reads

    Three columns (Date, Description, Amount) or four (Date, Description, Credit, Debit), one date format throughout, blank cells instead of zeros. The converter above does this for any bank file.

    Open the upload screen

    In QuickBooks Online go to Transactions → Bank transactions, open the Link account dropdown and choose Upload from file.

    Map the columns and pick the account

    Drop the file, choose the QuickBooks account it belongs to, then match QuickBooks' Date, Description and Amount fields to the file's columns and confirm the date format.

    Review in For review

    The transactions land on the For review tab of Bank transactions, where you categorise or match them before they reach your books.

Rules that decide whether the upload works

  • One date format in the whole file, and no weekday after the date ("11/20/2026 TUE" fails).
  • Blank cells instead of 0 in amount columns.
  • Headers in the 4-column layout read exactly Credit and Debit, not "Credit amount".
  • Plain numbers: no currency symbols, no brackets for negatives.
  • No balance summary, totals or blank lines above or below the transactions.
  • On a Mac, save as Windows CSV (Excel: File → Save As → Windows Comma Separated).
  • For a credit card account, choose the credit card account when uploading; payments to the card can show as negative amounts.

The QBO files this site makes give each transaction an ID built from its date, amount and description, so converting the same CSV again produces the same IDs. Frequently asked questions

Can you import a CSV file into QuickBooks Online?

Yes. QuickBooks Online uploads bank and credit card transactions from CSV through Transactions → Bank transactions → Link account → Upload from file. The file has to be in a 3-column (Date, Description, Amount) or 4-column (Date, Description, Credit, Debit) layout.

What CSV format does QuickBooks Online need?

Either Date, Description, Amount with money out as negative numbers, or Date, Description, Credit, Debit with the two kinds of amount in separate columns. Intuit also asks for a single date format in the whole file, blank cells instead of 0, Credit and Debit headers without the word 'amount', and on a Mac a file saved as Windows CSV.

Why does QuickBooks Online reject my CSV?

Usually one of: a summary block of balances above the transactions, more than one date format (or dates with a weekday attached), amounts with currency symbols or brackets, zeros where QuickBooks wants a blank, or extra columns it can't map. Running the file through the converter above rewrites it as a clean 3-column CSV.

Should I upload a CSV or a QBO file?

A QBO file is the format banks send QuickBooks directly. It needs no column mapping and every transaction carries a bank ID (FITID) that QuickBooks uses to recognise transactions it already has. A CSV is fine for a one-off upload; if you import the same account every month, convert the CSV to QBO.

Can I import a CSV into QuickBooks Desktop?

Not as bank transactions. QuickBooks Desktop takes bank files as QBO (Web Connect) and transaction lists as IIF. Use CSV to IIF for Desktop.
