Frequently asked questions
Which PayPal CSV format should I download?
Download the 'Activity' report from PayPal Reports, not the 'Balance'. The Activity CSV includes all transactions with dates, amounts, and descriptions. Under Reports → Activity Download → select date range → CSV (Comma delimited).
What columns does PayPal CSV use?
PayPal Activity CSV columns include: Date, Time, TimeZone, Name, Type, Status, Currency, Gross, Fee, Net, and more. For QuickBooks import, map Date → Date, Name or Type → Description, Net → Amount (Net is the amount after PayPal fees).
Should I use Gross or Net amount?
For most bookkeeping purposes, use Net — that's the amount after PayPal's transaction fee, which is what actually hits your PayPal balance. If you track fees as a separate expense, use Gross for the revenue and record fees separately.
PayPal has multiple currencies — how does that work?
If your PayPal account has transactions in multiple currencies, filter to a single currency before exporting, or export separate CSV files per currency. The QBO format supports a single currency per file.
Does PayPal offer direct QuickBooks sync?
PayPal offers a direct QuickBooks integration via the QuickBooks app marketplace. If you process high volume, the direct sync is more efficient. Use this converter for one-time imports or when the direct integration isn't working.
